    In-house client service call center: Cities Management will act as the communication contact for all homeowners. All concerns would be received and disbursed in writing to the Association Manager or a respective committee or board appointee. An example would be a maintenance concern which could be emailed, faxed or mailed to the Association Manager or to one member of the Board who would in turn contact the desired vendor.
    Emergency On Call Services: Cities Management will act as back-up for your emergency or after hours calls.
  Consulting Services: Cities Management will provide advice and conult with the Board on any operational and business issues.
    Financial Statements: Cities Management will develop complete financial statements tailored to the specific needs of your association, including receiving and depositing association dues, disbursing funds, tracking delinquencies and providing monthly financial statements. Your monthly financial statements will include: income and expense statement, balance sheet, budget variances, check register, transaction report, bank statements, investments and bank reconciliations. Statements may be prepared in the accrual or cash method of accounting.
    Check Preparation: Cities Management will prepare your checks for payment of invoices for services and contracts.
    Automated Electronic Payment: Cities Management works with First Capital Bank, our preferred vendor, to provide automated debiting of funds from a specified account for payment.
    Accounting Records: Cities Management guarantees that accounting records will be maintained in a professional orderly manner and open for inspection at any time at the Board's discretion. We welcome internal audits by the treasurer anytime.
    Audit/Review: Cities Management will assist with your audit/review process.
  Budget: Cities Management will aide you with your budget preparation each year. A budget draft will be prepared for the board to review and approve prior to implementation.
    Disclosure Statements: Cities Management will prepare all disclosure statements on behalf of the association. The fee for this service should be paid by the owner selling or refinancing their home.
  Board Training: Cities Management will provide opportunities for development and training of Board members.
  Collection: Cities Management will appear in conciliation court on your behalf for delinquent accounts. If interested, please inquire about the cost for this service.
    Late Notices: Cities Management will prepare and mail late notices to homeowners delinquent in the payment of their account.  These notices will be in accordance with the Association rules or By-Laws as to the date mailed and the late fee charged and done in compliance with the Fair Debt Collection Act.
    Coupon Books: Cities Management will prepare the necessary information and order coupon books.
 

Tax Preparation: Cities Management will cooperate with your tax consultant and or auditor if necessary. We can prepare your year end taxes. Please inquire for details.

    Local Government Liaison: Cities Management will act as liaison to governmental agencies, local government, public agencies and their agents. CMI will also advise the Association of legislative issues important to your business.
    Facilitate Audit/Review Process: Cities Management will coordinate and assist with the audit/review process.
      Rules and Regulations: Cities Management will develop, recommend and implement rules and regulations appropriate for your community.
    Attend Board Meetings: Cities Management will attend your board meetings either to facilitate the meeting process or just as an observer with follow-up comments.
    Committee Structures: Cities Management will advise and aid in forming committees.
      Liaison: Cities Management will act as liaison between the board and homeowners. CMI will provide communication when required. Cities Management will also act as liaison between board and vendors.
      Management Reports: Cities Management will provide comprehensive packets for board meetings.
    Service Recommendations: Cities Management will make recommendations for service providers and vendors.
    Annual Meeting Notice: Cities Management will prepare and distribute annual meeting notice and coordinate meeting arrangements.
      Meeting Preparation: Cities Management will prepare agendas along with the president and prepare board meeting packets.
      Inspections: Cities Management will regularly inspect your property.
      Legal Liaison: Cities Management will act as liaison with legal counsel.
    Investments: Cities Management will advise on resources for investments of reserves and savings.
  Experience: Cities Management will bring it's experience and knowledge to provide an on-going resource for the board and the association to aid in the preservation of property and the lifestyle of your owners.
  Representation: Cities Management strives to represent the interests and goals of you --the owners (the Association), and to provide the best service possible.
      Bids: Cities Management will solicit bids on behalf of the Board of Directors.
    Minutes: Cities Management will distribute minutes of meetings or newsletters.
  Homeowners Manual: Cities Management will help develop a homeowners manual for your association.
    24 x 7: Cities Management will provide 24 hour answering service to all clients for association related emergencies or homeowner emergencies.
    Maintenance Service: Cities Management will provide maintenance service as necessary and as directed by the board of directors for common areas.
  Reserve Study: Cities Management will aide in the selection of a Reserve Study Vendor Specialist for your reserve study and then implement and monitor your long range plan.
  Payroll Preparation: Cities Management will contract with a payroll service for any association employees.
  Insurance Management: Cities Management will advise you on proper insurance format and procedures for the management of your insurance policies.
 

Insurance Claim Resolution & Property Restoration: On a contracted basis, Cities Management will provide insurance claim resolution and property restoration services. As insurance claims specialists, here are some of the services we provide:

• Written reporting of the claim in accordance with your association
  policy.
• Informational letter to let you know how the process will work.
• Clear advice in dealing with your homeowner insurance company.
• Immediate homeowner assistance in the case of an emergency
  loss.

• Contact with the insurance company adjuster representative.
• Inspection of your home and written estimate of repairs.
• Negotiation with the insurance adjuster to make certain all repairs
  are included.

• Work completed to your satisfaction, final payment made and lien
  waivers collected.

There is typically no cost whatsoever to you or your association. Recognizing the complexity of the process, the fees are typically paid by the insurance company. The cost of our services is over and above whatever the repair costs are, so rest assured that they will in no way decrease the amount allowed for your repairs.
